Policies
Pricing listed is for University Departments and Academic Centers only. The costs for all equipment rental and labor are charged to the account number provided. All student organizations certified through the Student Organization Resource Center (SORC) are provided technical support at no charge, but must follow the same guidelines as set forth through these policies. Certain events may require an audio-visual technician on site. Applicable fees may apply.
Organizations from outside the University paying for services for a University co-sponsored event cannot be billed directly. Charges must be billed to the University unit co-sponsoring the event.
Please note that WPU rooms 310, 527, 538, 539, 540, 630, 837, 918, Dining Room C, as well as OSC room 114 are self-service rooms. We do not offer additional tech such as microphones and speakers to these rooms as they are equipped with a built-in TV and all necessary cables to connect to a laptop for video & sound.
Requests
Requesting technical support is the responsibility of the person(s) organizing the event. Completing a room reservation in EMS does not include technical services. All tech requests must be made directly through the Office of Event Production.
All Requests must be made at least two weeks (14 days) prior to the date of the event. Events involving live entertainment (concerts, talent shows, fashion shows, plays, etc.) as well as large-scale conferences require an extra level of coordination between the client and Event Production. In this case, it is necessary for the event coordinator to contact Event Production at least one month (21 days) prior to the event to set up a meeting and discuss the event’s needs.
All requests for equipment and staffing must be confirmed by Office of Event Production staff.
Cancellations
It is the responsibility of the sponsoring organization to directly notify Event Production when an event is cancelled. Failure to cancel a reservation prior to the event date may result in related fees.
Repeated failure to cancel reservations prior to the event date may result in a group losing tech reservation privileges with the Office of Event Production.
Equipment Use
Only Office of Event Production staff members are allowed to operate the audio/visual equipment.
Damages to, or loss of, equipment caused by the client will be billed to the account number provided.
The Office of Event Production does not provide support for tech not owned by our office.
